Do I need a Coordinator and a Venue Manager?
Our Willow Oaks Weddings & Events staff is onsite for every event to assist with any venue-related matters. We know every facet of our building and grounds. We are happy to work alongside your coordinator to discuss design layout and setup; we go over these plans at our 30-day out meeting with our couples and their Coordinator. Our staff is onsite the day of your event to set up the ceremony site, implement your table layout for the reception, direct parking, keep bathrooms stocked and tidy, and assist your vendors with directions on where to set up.
You will want to work with a professional coordinator who knows all aspects of a wedding day and is equipped to handle any surprises that come your way. Your Coordinator will work closely with you and your photographer to lay out the timeline for your big day. Starting with your arrival for hair and make-up and ending with your private last dance just before send-off and everything in between. You will share your Pinterest board with the Coordinator to bring your vision to life. You both will meet several times before the wedding to discuss all of the details, including the budget, with your Coordinator, and we will work behind the scenes with your Coordinator to make sure everything is as perfect as possible on your day. At your 30-day out meeting, our staff and your coordinator will review the timeline with everyone; we will finalize your layout or set up details and so over any questions that may arise.
As you can see both a venue manager and a Coordinator have b=very different duties and responsibilities. Having a Coordinator is invaluable. Willow Oaks requires our brides to hire a Coordinator to ensure a smooth transition of the days events. Having a Coordinator helps your timeline run smoothly, and our venue staff are there to keep things running smoothly behind the scenes. Your day will be everything you’d imagined!
